SharePoint on-premises to SharePoint Online readiness

A legacy SharePoint environment needed a practical path to SharePoint Online without carrying forward stale permissions, abandoned sites, and unknown workflow dependencies.

The challenge

The source environment had years of organic growth: unclear site ownership, deep permission inheritance breaks, legacy forms, workflow dependencies, and mixed business expectations around what should move.

Our approach

  • Created a source inventory of high-value sites, libraries, workflows, forms, owners, and risk areas.
  • Defined a target SharePoint Online information architecture with hub structure, site ownership, and permission boundaries.
  • Separated content into migrate, remediate, archive, retire, and modernize categories.
  • Built a pilot wave plan and validation checklist for business owners and IT administrators.

Outcomes

  • Leadership received a decision-ready migration roadmap instead of a vague lift-and-shift estimate.
  • Site owners had a clear review process for permissions, content cleanup, and post-migration acceptance.
  • The migration plan reduced the risk of moving stale access, unsupported workflows, and abandoned content into the target tenant.
